Setting The Appointment (P) Scripts
● While setting the appointment, it is in our best interest and goal to get all decision makers present. If the homeowner gets upset, we will still set and run the appointment. Do not offend anyone. After you have made your connection (S), Identified why you are there (L), and questioned down about the issues you are calling on (A), now we set the appointment (P).
“We can have one of our estimators in the area tomorrow at X pm or X pm, which time works best for you?
Appointment times are as follows:
- Monday 11am, 1, 3, 5, & 7pm
- Tuesday through Thursday: 9am, 11, 1, 3, 5, & 7pm
- Friday: 9am, 11, 1, 3, & 5pm
- Saturday: 10am, 12, & 2pm
“Are there any other decision makers in the home and does this time work for them as well?”
▪ If there is another decision maker, make sure to see what time frame works for them and get their names as well.
“Perfect, thank you. So, I have you down for tomorrow at X pm, and this doesn’t interfere with any other plans you have? Great, let me just confirm the proper spelling of your name & address. What is the best phone number so my scheduling department can get a hold of you if anything comes up?”
▪ If the appointment is a Next Day (ND) appointment, this includes any appointments set for Monday on a Friday or Saturday. Call the office to confirm.
“Thank you, Mr. Johnson. Since this is for our next scheduled day, I want to lock that spot in for you. I am going to call the scheduler right now to confirm the details and get you on the schedule.”
▪ Let the confirmer know why you are calling and put them on SPEAKER with the homeowner. They will go over the details of your appointment. This step needs to be just the customer and confirmer/scheduler speaking. This makes everyone’s job easier, and no information will get lost. (We don’t want to play the telephone game- We all know how that ends)

“When the estimator arrives, please invite him in. He will introduce himself and
let you know that he’s with Avalon Roofing & Exteriors. He will be taking some
measurements, completing an inspection, and showing you those results as well
as the solutions. Please make sure to have any questions ready for them and to
let your significant other know about the appointment. We look forward to
helping you find a solution, thank you and have a great day!”
